As a leading Landscape Architectural and Urban Design firm with a strong focus on sustainable design, our practice undertakes a diverse range of projects throughout Western Canada and the Pacific Northwest, including park and waterfront design, urban design, open space planning, mixed-use development, institutional projects, and multi-family residential neighbourhoods.

 

Hours and Schedule:

  • This position serves as a key point-person for the Finance & Admin team, and works closely with the Office Assistant and Controller, and as such, this role is required in-office full-time; after the 3-month probationary period, this position may work 1day/week from home, ideally Friday.
  • At PWL, our full-time positions are 37.5 hours/week, Monday – Friday, 8:30 a.m. – 5:00 p.m. with a 1-hour lunch break.

 

Position Overview:

The Project Accountant is responsible for the comprehensive financial administration of project-based work. Key duties include executing client billing, managing the project database, and coordinating payments to sub-consultants. This role provides critical support to the senior leadership team by facilitating the monthly reporting cycle and ensuring all deadlines are met. The successful candidate will act as a primary point of contact for client billing inquiries and will be responsible for contract review and financial reconciliation.

 

Key Responsibilities:

  • Invoicing: Ensure timely and accurate delivery of project invoices to clients. Identifying and resolving invoice discrepancies to ensure financial integrity.
  • Project Billing: Gather and calculate project details, including the processing of sub-consultant invoice payments.
  • Administration: Manage sub-consultant invoices, project set-up in Ajera, and the maintenance of project databases, folders, and archives.
  • Office Coordination: Overseeing daily operational requirements, such as communicating directly with the Building Manager, managing office needs, and arranging catering and travel arrangements when required.
  • Other finance duties as assigned

 

Key Knowledge, Skills & Abilities:

  • Technical Proficiency: Advanced knowledge of MS Excel; high proficiency in Ajera (or similar project accounting software) with the ability to adapt to new software.
  • Accounting Knowledge: Strong understanding of project accounting principles and general cost accounting (Time & Expense vs. Fixed Fee allocations).
  • Precision: Exceptional data entry accuracy and close attention to detail.
  • Interpersonal Skills: Ability to build positive rapport with staff and senior leadership.
  • Autonomy: Ability to work with limited supervision and prioritize tasks effectively
  • Communication: Strong verbal and written communication skills
  • Collaboration: Enjoys working closely with a small admin team, participating in open dialogue and collaborative problem-solving to ensure best practices

 

Qualifications:

  • 5+ years of administrative experience in a professional office environment.
  • 2+ years specifically involving project billing and accounting support tasks.
  • 2+ years of experience within a professional services consulting firm (e.g., Engineering, Architecture, Construction, Real Estate, or Legal).
  • Education: A diploma or certificate in Business Administration, Accounting, or a related field is preferred.

Compensation and Benefits

  • The starting salary is $31-$38 per hour (depending on experience)
  • Health and Dental benefits after 3 months of probation
  • Vacation: 6% / 3 weeks per year + 1 day off for your birthday + paid Family Responsibility Leave + other perks and benefits.
  • Transit – monthly pass reimbursement
